Why bother
Most small business owners we talk to lose a day or more every week to admin. Quotes typed up late at night, invoices nobody has chased, calls missed while their hands were full. None of that is the work they started the business to do.
AI won't fit a boiler or lay a patio. What it can do now, reliably, is the repetitive paperwork around the job. We're a Surrey agency that builds software for a living, so we set it up in a way that fits how you already work, and we tell you plainly when something isn't worth the bother.
What it can do
Plenty, though less than the hype suggests. These are the jobs we see it handle well right now, for firms with one van or twenty staff.
Talk through the job in the van and get an itemised draft back, ready for your prices. You still decide what it costs. What disappears is the typing you'd otherwise do at the kitchen table at nine at night.
When you're up a ladder the phone rings out, and that customer rings the next number on their list. AI can answer, take the details and get the enquiry in front of you before the moment has gone.
A polite follow-up a couple of days after a quote goes out. A reminder every week on an overdue invoice until it's paid. It's the job everyone hates, and the one that costs most when it slips.
Reminder messages the afternoon before an appointment, accepted quotes that turn into booked jobs, and a warning when two jobs land on the same morning.
It can ask each customer for a review a week after the job's finished and draft a reply when one comes in. It'll also write up this week's project as a short Facebook post. You read it, change what you like and send it.
Pulling details out of emails and PDFs, sorting receipts, drafting letters and method statements. The jobs that quietly eat your Sunday evening.
How we help
A lot of businesses already pay for an AI assistant and barely touch it. Microsoft 365 Copilot, Gemini in Gmail, ChatGPT. We set them up properly, show your team what they're genuinely good for, and write the templates so the good habits stick once we've gone.
When the off-the-shelf tools don't fit, we build software that does. We design and code it ourselves, the same way we build websites, and use AI where it saves real time: reading enquiries, drafting quotes, chasing payments, pulling a weekly report together.
How we work
We sit down with you for an hour and go through an ordinary week. Where does the time go, and which tasks look the same every single time?
The most repetitive, most irritating task usually wins. One improvement you can feel beats a grand plan that never gets finished.
A short pilot on your own quotes, calls or invoices, so you judge it on what it does for your business and not on a slick demo.
Once it has earned its place we set it up properly, show everyone how it works and stay on hand while it beds in.
Case study · our own product
We didn't want to only talk about AI for trades, so we built it. YourTradeQuotes is our own quoting and job management app for UK tradespeople, and it runs on the same ideas we bring to clients.
Talk through the job for up to three minutes, from the van or on site. The quote builder opens with the customer attached and every line drafted.
Describe the job the way you'd describe it to a mate, and AI drafts the itemised lines, ready for your prices.
Quotes are followed up on day 2 and day 5. Overdue invoices get a reminder every 7 days until they're paid. Appointment reminders go out at 4pm the day before, and a review request a week after the job's finished.
An assistant on every page that answers questions about your own quotes, jobs and invoices, or how to do something in the app.
In pilot with trade businesses now: an AI receptionist that answers the calls you miss, and a WhatsApp assistant you can text to run your day.
YourTradeQuotes never invents a price. Unpriced lines are flagged for you to fill in, and nothing reaches a customer until you've checked it and pressed send. We hold every system we build for clients to exactly the same rule.
If you quote, book, chase or answer the same questions every week, almost certainly. We see the same admin at electricians, plumbers, builders, landscapers, cleaners, salons and accountancy practices. The details change. The paperwork looks much the same.
It's the right thing to ask first. We tell you exactly where your data goes before anything is switched on, keep customer details out of public AI tools, and choose tools and hosting that keep data in the UK or EU wherever we can. If a tool can't meet that bar, we won't recommend it.
Common questions
Mostly by taking repetitive admin off your hands: drafting quotes, answering and logging enquiries, chasing unpaid invoices, sending reminders and asking for reviews. You stay in charge of the decisions. The AI does the typing and the remembering.
Often less than people expect. Many AI tools are already included in software you pay for, such as Microsoft 365 or Google Workspace, and setting them up properly is a short piece of work. A bespoke system costs more, so we quote it in stages and you only commit to the next stage once the last one is working.
That isn't how we use it. The aim is to give your team back the hours they lose to admin so they can spend them on the work customers pay for. Every system we build keeps a person checking anything before it reaches a customer.
Not into a free public chatbot, no. We agree clear rules about what goes where, use business accounts that don't train on your data, and design bespoke systems so your customer data stays under your control.
No. If you can use WhatsApp, you can use what we set up. We train you using your own quotes and emails rather than made-up examples, and we're on the end of the phone afterwards.
